- Tender Clarification Questions and Answers – Alles für den Gast 2026 Are there any mandatory tender forms or templates that bidders need to complete? No. There were no mandatory tender forms or templates. A bidder-prepared technical proposal together with a comprehensive fixed-price quotation was sufficient, provided it addressed the full scope and requirements of the tender documentation. What company documentation should be submitted with the proposal? Bidders were asked to provide company registration details and VAT number, evidence of appropriate professional/public liability insurance, relevant references or comparable exhibition stand projects, and a declaration confirming that there were no applicable exclusion grounds or conflicts of interest. Detailed financial statements were not required at that stage. Will the contract be awarded solely on the basis of the lowest price? What are the award criteria? No. The contract would be assessed on the basis of overall best value for money, considering compliance with the technical specifications and approved stand design, quality and suitability of materials and execution, relevant experience and ability to deliver within the required timeframe, project management and technical capacity, and overall price. Is the existing stand design fixed, or can bidders propose alternative / more cost-efficient solutions? Alternative solutions could be proposed, provided they remained as close as possible to the original design and overall look and feel. Cost-efficient alternatives for elements such as back walls, shelving or counters could be considered and would be reviewed with the appointed stand designer. Does the estimated contract value represent a maximum budget? What should it cover? The updated estimated value represented the anticipated value of the complete contract rather than an absolute maximum. It was intended to cover the full activity, including construction, installation, dismantling, equipment hire, graphics production and installation, transport, venue-related and technical services, rigging and project management. Is a detailed cost breakdown required? Yes. In addition to the total fixed price, bidders were asked to provide a clear cost breakdown. There was no mandatory pricing template, but the main cost categories should be separated and any assumptions, exclusions or client-supplied items clearly identified. Should rigging costs be included in the proposal? Yes. Rigging costs should be included in the application and shown as a separate line item in the cost breakdown. How should VAT be presented? The financial offer should be presented as a net amount excluding VAT, with VAT shown separately where applicable. What submission format should be used? PDF format was preferred for the main technical and financial documents, with supporting material attached separately where required. Is there a required tender validity period? No specific validity period was prescribed in the tender documentation. The offer should remain valid for a reasonable period to allow completion of the evaluation and contracting process. What was the submission timeline and was there a separate deadline for clarification questions? Bidders were informed that proposals would be accepted during the first week of September. There was no separate formal deadline for clarification questions, but bidders were asked to submit them as early as possible. Do bidders need to develop the final graphic artwork? No. Final print-ready graphic artwork would be supplied to the appointed contractor for production. Bidders were not expected to develop new creative artwork. Could the proposal cover a broader multi-event cooperation with Bord Bia or the campaign? No. For the purposes of this tender, the proposal had to relate solely to Alles für den Gast 2026 in Salzburg. Any future Bord Bia or campaign exhibitions would be considered separately. Could potential efficiencies from future reuse, storage or logistics be mentioned? Yes. Bidders could mention potential efficiencies from future reuse, storage, logistics or production as additional background information, but these would not form part of the evaluation of the Salzburg tender. How should the commercial proposal be structured in relation to future events? It should be submitted as a standalone fixed-price offer for Salzburg, in line with the tender documentation and technical scope provided.
